The Xcellerate IT Imaging Capture solution is now live within the Record Release Unit (RRU). The processing of the National Police Certificate (NPC) application is now automated with the latest OCR and ICR technology, increasing the accuracy of all information acquired and reduce the need for RRU’s required resources.
Sydney, 24 May 2010 – Xcellerate IT’s solution overcomes the boundaries of the Accounts Payable departments and proves its effectiveness in streamlining paper driven business processes. After a 5 month project to understand Record Release Unit’s (RRU) requirements, deploy and test a suitable solution, Xcellerate IT Imagining Capture technology is now live and fully operative.
Along with FoneZone, Queensland Building Services Authority and Campbelltown Cty Council, South Australia Police is the new example of Xcellerate IT’s solution implemented to automate paper driven business processes.
The South Australia Police currently receives between 4,000-9,000 National Police Certificate (NPC) applications per month, both by fax and by post. According to a recent survey, criminal history checks in relation to employment, license and visa will increase by approximately 30%, impacting RRU’s resources and corporate service standards.
The processing of NPC applications was a manual intensive process. RRU relied heavily upon data entry staff for accuracy and attention to detail. The repetitive nature of these tasks naturally caused lapses of concentration and a higher risk of errors. Due to limited resources, RRU was not able to meet service standards, with approximately 10% of applications not entered on the day received.
In order to direct resources to other more valuable services, South Australia Police partnered with Xcellerate IT to streamline its RRU’s processes. The Xcellerate IT Kofax Capture solution proposed and now implemented by Xcellerate IT will enable the processing environment to become more streamlined and reduce manual data entry. Additionally, images can be stored in a designated electronic document management repository for future retrieval.
The proposed scanning solution consists of best-in-class Imaging Capture software with modules linked together by common transport queues. NPC applications are now scanned converting paper documents into electronic images, data is extracted from those images and placed it into pre-defined index fields. RRU personnel is then empowered to examine the extracted data and make corrections before data is uploaded into the Police Check Management System (PCMS) and then checked into CrimTrac.
The Xcellerate IT’ scanning and Imaging Capture software will eliminate manually intensive data entry, reduce required resources and ultimately enable RRU to meet service standards and increasing workloads with greater speed and accuracy.
