With four campuses in Northern NSW and Sydney CBD, Southern Cross University (SCU) sought a more standardised accounts payable (AP) process. The main challenge for SCU consisted of receiving over 25,000 supplier invoices per year at the various departments and then manually entering invoice details into their TechnologyOne finance system. Manual checks of invoices were then performed to ensure they have been authorised and meet approval criteria.
After evaluation of a number of vendors, SCU chose Xcellerate IT’s accounts payable automation solution which is seamlessly integrated with TechnologyOne Financials. Xcellerate IT’s 30+ customers using TechnologyOne Financials for AP automation played an influencing factor in the customer’s decision making process.
The Kofax Capture solution proposed by Xcellerate IT will enable SCU to increase speed and throughput of invoice processing, whilst improving the accuracy of data entry. A reduction of work effort and duplication of tasks further improves processing times and reduction of administration overheads.
Supplier invoices will be scanned and converted into electronic images, with invoice header details (e.g. ABN, PO, supplier number, etc) extracted from those images, validated and uploaded to the Technology One Finance application. Images are stored as attachments in Technology One and immediately available for viewing (to answer internal and external customer enquiries).
