Brookfield Multiplex introduces Information Capture and workflow technologies to replace the manual data entry and approval of supplier invoices. The Xcellerate IT’s solution for Accounts Payable automation rationalises the processing of financial transactions and provides an enterprise platform for future business processes.
Brookfield Multiplex have successfully passed the deployment and user test phases and it is now live with the Xcellerate IT’s leading imaging and workflow technology.
Xcellerate IT’s document automation solution rationalises and streamlines efficiencies in Accounts Payable (AP) by automating the processing of supplier invoices from arrival to payment. The solution implemented by Brookfield Multiplex Services provides a platform to scan invoices, extract data and approves it through a workflow system. All the invoices from the Australian suppliers will be forwarded to the AP department for scanning and distributed electronically across Brookfield Multiplex Services for approval.
The first phase of the solution is rolled out at the Defence Maintenance Management (DMM) division of Brookfield Multiplex Services, a leading provider of maintenance services to the Defence Sector throughout Australia. DMM currently receive up to 50,000 supplier invoices per year from Australian vendors. With an average of four associated pages per invoice, a total of 200,000 pages are scanned and processed annually.
With a core philosophy to “provide an innovative and improving maintenance service”, DMM turned to document process automation software vendors in 2010. “We were looking for a solution to support our business growth without the need to increase full-time employees” says Andrew Leppinus, General Manager of DMM. “The key reasons for implementing Xcellerate IT’s solution was based upon their extensive experience in the industry and their large number of reference sites. Our goal is to reduce the average supplier invoice approval time, provide better cash flow analysis as well as having better control of the bottle-necks within the business processes”.
Scanning and processing of all incoming suppliers invoices will further assist DMM to comply with the Security Payment Legislation for the Building and Construction Industry.
The Xcellerate IT’s solution adds crucial speed and discipline to the invoicing processes. It utilises two industry-leading software products, Kofax Capture and Singularity Process Platform (SPP). Kofax Capture is a global leader in information capture software enabling the extraction of information from documents such as supplier invoices. SPP is a well recognised business process platform designed for exception handing based on rules and roles throughout the organisation.
The solution is pre-integrated to existing financial and document management systems. Data extracted from invoices is released into the current accounting system, and invoices and associated images will be stored as one document into SharePoint.
