Eastern Health, a new customer of Xcellerate IT, goes live with Kofax Capture to enable the scanning and processing of supplier invoices integrated with their Oracle Financials system, HealthSMART.

Today, Eastern Health employs over 8,000 people, delivering more than 800,000 episodes of patient care each year. “As a public organisation we need to operate within financial constraints and maximise our existing resources – says Mary Theodore, Accounts Payable Manager – This applies to the accounts payable department as well, which was under pressure with processing supplier invoices and not focusing on more valuable tasks”. The accounts payable department at Eastern Health in Box Hill Victoria, receives an average of 13,000 supplier invoices per month. “The accounts payable team used to spend precious time in retrieving invoices in order to answer internal and external queries. In peak times, this was slowing down our operations and affecting our best practice policies”.
After the evaluation of a number of vendors and liaising with other health care organisations in Victoria, Eastern Health appointed Xcellerate IT to design and implement an accounts payable solution to address their issues. Xcellerate IT’s expertise and experience with over 65 customers already using their solution for AP automation was a major influence in the vendor selection. “The proven record of implementations delivered by the Xcellerate IT team, including similar health care organisations in Victoria, and the opportunity to provide an in-house solution that Eastern Health has control over, was a key factor for us” – confirms Mary.
The Kofax Capture solution proposed by Xcellerate IT allows scanned images of supplier invoices to be attached to the invoice entry/query form in Oracle Financials, providing effectively a single source of information, which can then be tracked and viewed easily by all staff involved in the process.
“We are still familiarising ourselves with the software but the solution has proved to be fantastic from day one. The time saved in retrieval of information is just immeasurable – confirms Mary – Having electronic images accessible via Oracle Financial means that we can now reply to internal queries by simply sending email with links to invoices images without the need to retrieve, copy and refile paper invoices. This is an inestimable time saver for our organisation. Why didn’t we do this before?”
Other key benefits delivered from the deployment of the Xcellerate IT solution include the secure storage of documents in digital format. This will reduce our space requirements and the costs of rental storage and retrieval. Eastern Health can now store the equivalent of 8 months volume on a single DVD.
In addition, the Kofax capture platform can be extended across the organisation to other departments and paper intensive applications that require either the extraction of data or the storage of an electronic image. Furthermore, this base configuration can be enhanced at any stage in the future to enable automated capture of invoice header details (such as ABN, invoice#, date, amount[s], GST etc), with validation of transaction and supplier details from within Oracle Financials.
