Gordon and Gotch

Gordon and Gotch distribute the largest range of magazines in Australia, and provide this service to over 300 publisher clients through over 8000 retail outlets. Over 190 million magazines are distributed into the Australian marketplace each year, which has a total retail value of over $600 million.

Gordon and Gotch have an extensive database of approximately 3400 different magazines across a broad range of categories. Each month their warehouses around Australia distribute over 17 million magazines. Total staffing is approximately 420 people.

Major Australian customers include Pacific Publications, Murdoch Magazines, Emap Australia, The Horwitz Group, Next Publishing, Yaffa, Trading Post and Mavala.

Major International customers include Worldwide Media, Curtis Circulation, CMG, Comag, Kable, Seymour, MMC, MarketForce, DC Thomson, Eaglemoss, DeAgostini, GE Fabbri, Del Prado and Hachette. Imported publications account for 26% of Gordon and Gotch's total sales value to retailers.

In January 2000 PMP Limited purchased Gordon and Gotch Australia from INL (a New Zealand based company). Gordon and Gotch is now a fully owned subsidiary of PMP Limited, whose major shareholder is the Seven Network (the second largest TV network in Australia).

Challenges Faced

On a monthly basis, Gordon and Gotch produce approximately one million documents that require archiving. The existing microfiche system was not only expensive but out-dated, laborious and unreliable.

Based on the escalating hard and soft costs involved in this process, Gordon and Gotch decided to pursue an electronic system that could effectively archive documents and instantly retrieve them.

Gordon and Gotch required a solution that would:

  • Improve the response time for producing reprints of customer facing financial documents,
  • Allow for immediate retrieval of documents based on customer requests
  • Allow for reliability of storage in order to meet legal requirements
  • Be easy to use and customisable to suit their environment
  • Cater for large volumes of documents in PDF format, and
  • Provide easy integration with their existing Adobe output solution
Not only saving time and money, but creating a better working environment through efficiency.

Success Strategy

Gordon & Gotch partnered with Xcellerate IT, a Redmap Business Partner, due to the experience of the Xcellerate IT team and the functionality and flexibility of Redmap ManageEzy technology on Windows 2000.

The Redmap ManageEzy solution was easily able to automate the archiving and retrieval process of the approximately one million documents per month being produced from their legacy application. The solution was able to meet or exceed every requirement defined by Gordon and Gotch.

"The solution was easy to install and get up and going with the help of our Xcellerate IT consultants" explains Trevor Russell, System Developer for Gordon & Gotch. "Our existing mainframe data was easily adapted and our new JD Edwards ERP solution will present no problems either".

Not only saving time and money, but creating a better working environment through efficiency.

"ManageEzy has saved Gordon and Gotch both time and money. The customer support staff are happier and much more productive, this has been a great boon to efficiency" said Cathy Blake Thomas, Director for Xcellerate IT. "The savings on microfiche are approximately $4,000.00 per month, even accounting for the ongoing Maintenance and Support costs'.

Gordon and Gotch now has approximately 20 million documents or records stored in their Redmap archive and retrieval access is still averaging well under 10 seconds
